Google Business Profile setup in India: a step-by-step guide

When someone in your town searches "dentist near me" or "coaching institute in Patna", the first thing they see is the map with three businesses. That listing is your Google Business Profile. It is free, it takes about an hour to set up, and for a local business it can bring as many calls as the website itself. Here's how to set it up properly — and the mistakes that get listings suspended.

Before you start: keep these ready

  • A Google account (Gmail) that you own. Do not let a staff member or agency create it on their own email.
  • Your exact business name as written on your signboard.
  • Your full address with a pin code, or the areas you serve if customers don't come to you.
  • A phone number you answer (a WhatsApp number is fine).
  • Opening hours, including Sundays and lunch breaks.
  • 10–15 good photos: outside with the signboard, inside, your team at work, your products or classroom.
  • Your website link, if you have one.

Step by step: create and verify your profile

  1. Search for your business first. Open Google Maps and search your business name. If a listing already exists (customers sometimes create one), choose "Claim this business" instead of making a new one. Two listings for one location break Google's rules.
  2. Go to business.google.com and choose "Add your business to Google". Sign in with your own Gmail.
  3. Enter your business name exactly as on your signboard. "Sharma Dental Clinic" — not "Sharma Dental Clinic – Best Dentist in Patna | Root Canal".
  4. Choose your primary category. Pick the most specific one: "Dental clinic" rather than "Doctor", "Coaching center" rather than "School". This is the single biggest ranking choice you make. Add only a few secondary categories that are genuinely true.
  5. Add your location. If customers come to you, enter the full address and place the pin exactly on your building. If you go to customers, choose "I deliver goods and services to my customers", hide the address and list the areas you serve.
  6. Add phone and website. Use a number tied to this business that you answer yourself.
  7. Verify. Google picks the method. Many new profiles get video verification; some get phone, SMS or email. For video, record one continuous clip showing:
    • your signboard, the street and nearby shops;
    • your work — equipment, products, classroom, chairs, branded material;
    • proof you run it — unlocking the shutter with your key, the billing counter, or a GST certificate or shop licence with the business name.
If Google asks you to upload again, the video wasn't accepted — record a new one with more proof, not the same one.
  8. Wait for approval. Usually a few days. Don't edit the name or address while it's under review — that can restart the check.

After verification: make it rank

  • Fill in everything. Hours, services with short descriptions, attributes (wheelchair access, women-led, online classes), opening date.
  • Add photos every month. Real photos, not stock images. A profile with recent photos looks open and active.
  • Ask every happy customer for a review. Share the review link on WhatsApp right after the visit or result day. Reply to every review — good and bad — politely, within a few days.
  • Post updates. New batch starting, festival timings, a new treatment, admission dates. One post a week is plenty.
  • Keep name, address and phone identical everywhere — your website, Justdial, IndiaMART, Facebook. Google cross-checks them.
  • Link to a proper website. The profile gets the call; the website answers "how much, which course, what timings" and wins the customer.

6 mistakes that get Indian listings suspended or ignored

  1. Keywords in the business name ("Best IAS Coaching Patna"). Google's guidelines ban this.
  2. Virtual office or a relative's address where the business doesn't actually operate.
  3. Several listings for one location, often created by different staff or agencies over the years.
  4. Fake or paid reviews, or reviews from staff and family. Google removes them and can restrict the profile.
  5. The agency owns the account. If they disappear, you lose control of your own listing. Always be the primary owner; add others as managers (what else you should own).
  6. Paying someone who says "Google will remove you unless you pay". The profile is free. Google does not make these calls.

FAQ

Common questions

Is Google Business Profile free?
Yes. Creating, verifying and updating a Google Business Profile is completely free. Be careful of anyone who calls claiming you must pay Google to stay listed — Google does not charge for this.
How do I verify my Google Business Profile?
Google decides the method for each business. Many new profiles are now asked for a short video verification: one continuous video showing your signboard and street, your work or equipment, and something only the owner can access, such as opening the shop with your keys or showing business documents. Some businesses get a phone, SMS or email option instead.
Can I create a profile if I work from home?
Yes, if you visit customers or serve them at their location (for example, a tutor who goes to students' homes or an electrician). Set it up as a service-area business and hide your home address. If customers come to you, your address must be a real place with your business operating there — not a virtual office.
Can I add words like 'best' or my city to the business name?
No. Google's guidelines say the name must match your real-world name exactly, as on your signboard. Adding keywords such as 'Best Coaching in Patna' is one of the most common reasons profiles get suspended.
Do I still need a website if I have a Google Business Profile?
Yes. Google closed its free Business Profile websites in 2024, and the profile links to your website for courses, fees, treatments and enquiry forms. A good website also helps your Maps listing rank, because Google checks that your name, address and phone match.
How long does it take to show on Google Maps?
After verification, a profile usually appears within a few days, though Google sometimes takes longer to review it. Ranking higher in the local map results takes regular reviews, photos and updates over weeks and months.
